Acknowledgment version: 2026-10-04. This is the notice referenced by the recording acknowledgment.
This notice explains recording and transcription in the services provided by Lecture Hat, Inc.. Your in-app acknowledgment confirms your own responsibilities. It does not obtain consent from your professor, classmates, colleagues, or anyone else, and it does not authorize an institution to disclose records.
1.1 Recording rules depend on the locations of the participants, the type of communication, privacy expectations, and applicable exceptions. Requirements may include consent, advance notice, or other conditions. More than one jurisdiction may apply to the same session.
1.2 Before recording, determine and satisfy the applicable requirements for everyone who may be captured. If required notice or permission cannot be obtained, do not start recording. Recheck permission when participants or the stated purpose change.
1.3 Permission to attend a class or meeting, or permission to record for one purpose, does not by itself authorize uploading, transcribing through an external provider, publishing, or using the result for another purpose.
2.1 Before capture begins, tell affected participants who is recording, what will be captured, why, whether audio or text will be sent to Lecture Hat or an external transcription service, who can access the transcript, and how long you intend to keep it. Obtain the consent, notices, and other permissions required by applicable law and institutional policy. Keep evidence of permission where required.
2.2 We do not notify participants or verify their permission on your behalf. By starting a recording, you confirm that you have satisfied the requirements for that session. A record of your acknowledgment is evidence of your action, not evidence that another person agreed. If someone objects or withdraws permission that the recording relies on, stop capturing them and address deletion or further use as applicable law and the agreed permission require.
Your institution may restrict recording independently of applicable recording law. Follow course rules, academic-integrity requirements, and any accommodation process. A course pilot is voluntary; a student's assent does not bind the institution. For covered institutional personal data, an authorized institution must first execute an appropriate Data Processing Addendum and approve the feature and provider configuration. A signed DPA alone does not turn off an excluded feature.
We do not create voiceprints, use voice as a biometric identifier, or perform speaker identification or verification. Live capture can include microphone audio and browser-tab or system audio you explicitly add. Lecture Hat processes it to produce text and saves transcripts rather than the live audio stream as an account recording. Your device may hold transcript drafts during capture. An enabled class broadcast can share live text with course participants, and permitted participants can save their own transcript copies, including just after a session ends. Include those recipients, copies, and retention in the notice and permissions before starting. Audio or video files you separately upload are stored as uploaded files and may also be transcribed. These are different data flows; provider retention is described below.
While Live Subtitles is running, Lecture Hat sends an encrypted live audio stream to ElevenLabs, Inc. (Scribe v2 Realtime). We ask the provider to disable logging on each connection. ElevenLabs publishes a data-processing agreement (its addendum) that its terms incorporate for business-client content. We have not verified the contractual coverage and configuration applicable to our account, including Zero Retention Mode or the model-improvement opt-out. Applicable provider terms and account settings determine retention and permitted uses; we have not verified that they satisfy the restrictions for institutional records. Publication of a provider addendum alone does not approve this feature for covered institutional data. Do not use Live Subtitles for Student Data or other content covered by an institutional DPA until suitable terms and controls are verified and approved for that deployment. See the AI Use Disclosure and Subprocessor List.
5.1 For use under our standard agreements, the Terms of Service and Acceptable Use Policy govern recording-related conduct. The applicable Pilot Terms exclusively govern activity inside a Course Pilot; an executed institutional DPA controls processing on that institution's behalf. The Privacy Policy remains the baseline factual notice about processing. This notice does not supply a missing agreement or expand a participant's permission.
5.2 We may restrict recording or access for misuse as permitted by the agreement governing your use. Transcripts can contain errors, personal information, and copyrighted material; check them and the permissions before sharing. Account and transcript deletion follow the applicable agreement and the retention explanation in the Privacy Policy, including temporary backup retention. Stopping a broadcast or deleting the organizer's transcript does not itself remove another participant's saved copy. The organizer must address retained recipient copies when responding to withdrawal or deletion, consistent with applicable law and the agreed permissions; contact us for assistance with copies held in Lecture Hat.

A session organizer may adapt the following information and permission record before asking participants to agree. Fill in the details, explain provider handling accurately, and obtain any additional legally required permission. This is a sample record, not an in-app collection of participants' consent.
Session: [name, date, location]. Organizer: [name]. Person/organization responsible for the personal data and contact for questions, rights, or complaints: [name and contact].
Purpose: [specific use]. Capture: [audio, video, or live transcription]. Processing: [Lecture Hat and the actual transcription provider, including retention and model-improvement limits].
Access and sharing: [named recipients and uses]. Retention and deletion: [period, deletion process, and backup/provider limitations]. Alternative to being recorded: [arrangement].
I have read or been told this information in a format I can use and had an opportunity to ask questions. I voluntarily agree to the specified capture and processing. I may withdraw this permission at the contact above and stop future recording of me. The organizer will explain how withdrawal affects existing recordings and transcripts, including deletion rights and any lawful retention requirements. Withdrawal does not affect processing that was lawful before withdrawal. This permission does not authorize unrelated use or publication.
Participant: [name]. Agreement: [signature or affirmative confirmation]. Date: [date]. Give the participant a copy; keep the record with the session details.
Source and changes: the permission record and information checklist adapt the UK Government Digital Service's Getting informed consent for user research (updated November 5, 2018), Crown copyright, under the Open Government Licence v3.0. Lecture Hat adapted it for adult class/meeting recording, external transcription, and separate organizer and participant responsibilities. It is guidance adapted into a permission record, not a government-approved recording agreement. No government endorsement is implied.
